Mating Chart-It with your Practice

 

After you have installed Chart-It and verified installation by starting Chart-It, the next step is to license the software and configure the program.

You do this to customize Chart-It to your unique dental practice and for your convenience by having it conform to your individual preferences.

Chart-It has a separate companion program that the practitioner should run to customize Chart-It to the individual practice.  That program is called the Chart-It Administration Program, sometimes referred to as the "Admin" section.

Starting the Admin Program

Click Start, Programs, Chart-It and then Chart-It Administration.  You will be presented with the following screen.

To select an option form the Setup Options panel, click on that option's button.

When using these options, the Enter key will, as a general rule, accept the information and the Esc key will cancel any entries.

 

If your Practice Management Software (PMS) vendor supplies a Chart-It Interface utility program, some of the options presented here need not be configured.

If your PMS vendor does not provide such software, consult vendor-supplied PMS documentation to determine which options need to be set in Chart-It Administration.

Practice Information

Information entered in the Practice Information panel will be printed on reports.  Enter information in the way you would like it to appear.

 

Providers

Some practices have more than one practitioner providing patient services.  These additional practitioners are called "Providers" in Chart-It. 

Click on the Providers button to add or edit practitioner information.  Click "New" to enter a new Provider or "Edit" to edit or modify an existing Provider.

 

Data Paths

Data paths are important.

Correct data path definitions permit Chart-It to store data in correct locations and to communicate with other software packages that may be used with Chart-It.

If you are funning Chart-It on a network, the data path must identify your server.  Doing so enables users at any workstation to access patient information.

By default, the database is place on the server's C\CIW\DATA directory.  Execution of the Chart-It installation software specifies the data path for you.

Enabling Network Use

The Paths panel allows you toe set the data paths and enable network usage.

Pass-file Options

If you are integrating with a PMS you will need to set pass-file options so Chart-It can interface with your PMS.  You must contact your PMS company directly or refer to their documentation to obtain correct settings.

Default Printer

DO NOT USE THIS OPTION WITH VERSIONS OF WINDOWS XP OR HIGHER.  For Windows XP, you may select the printer from inside of Chart-It. 

Report Defaults

This screen allows you to select which reports will be automatically generated when you print reports.

The default condition enables all options.  You may disable any option form the "Report Defaults" panel shown.  Selections can be modified at any time a printed report is requested from within Chart-It.

This option allows you to select the printer Chart-It uses at an individual workstation level so that each computer using Chart-It can print to any printer on the network.

Perio Options

The setup window for Perio Options allows you to select Quadrant Advance as a default option.  It lets you pick the pocket depth above which the pocket will turn red.  If quadrant advance is selected, the location pointer will advance to the next quadrant automatically.

Configure your system to activate voice feedback here.

Installation of voice feedback requires a Sound Blaster compatible sound card.  Voice feedback uses a computer generated voice to repeat selected actions performed on the periodontal screen.  Operation of voice feedback is enabled by clicking on the Voice Feedback checkbox in Perio Options and in Voice Options.

If you are using the Probe One automated probe, select that option and the appropriate serial port.  If you are using USB, you will still need to select the appropriate serial port.  Unfortunately, the system does not automatically find the port and you may need to set a com port, try the system and adjust as necessary.

Voice Options

Voice commands and voice feedback are implemented by use of a Sound Blaster or compatible card.  As the previous voice systems Verbex and Voice Connexion are no longer in business, Chart-It is currently rewriting to use the Microsoft Voice product that comes standard with Microsoft XP Pro.

Charting Options

This set of options allows you to add, delete or edit sequence headers and health alerts.  It is unlikely that you will have to make any change to the listed selections.

Treatment Plan Options

This option allows you to choose between using numbers (1-9) or letters (A - I) for your treatment plan labeling convention.

Treatment Codes

Treatment codes allow you to edit procedure code transactions.  Usually the only thing of significance to edit is the cost of the procedures.  It pays to be accurate when changing this information.

This panel allows you to add, edit or delete ADA codes, descriptions of the procedure, cost and region.

The regions are surfaces (1-5), tooth (T), sextant (S), quadrant (Q) and arch (A).

When selecting ADA codes from the MISC? and PERIO buttons in charting, these region designations will instruct Chart-It to place the proper designation in the TOOTH # column and SURFACES column of the ADA table.

  • For surfaces (1-5) and tooth (T) Chart-It will record the tooth number in the TOOTH # column.

  • For quadrant (Q), the quadrant specification for the currently active tooth will be recorded as UL, UR, LL, LR.

  • For arch (A) Chart-It will record the arch of the currently active tooth as U or L.

  • Sextants will be recorded as A through F in similar manner.

Default Dentition

This option provides ability to default a juvenile or adult dentition.

Each new patient chart created will defer to whatever dentition is selected here.  The option default is "Adult"
